My first steps in Project Management

Project Management (PM) involves a lot of different skills that are used to successfully lead certain project from its idea to the final product. It also includes planning, monitoring, execution and closing of the process. During those stages, a project manager needs to motivate the people they work with, make sure they respect the deadlines and much more…
Ever since I can remember I have always been a person who would start conversations or get ideas what to do for a group project, or I would challenge myself to learn more, do more and to develop as much as possible. During my university years, I got involved in many projects for the university as well as outside it in different competitions. All of those made me think hard when I had to decide about my internship. After a lot of thinking and research, I decided the best way was to aim high and try to get the best internship for my personal goals.
That is why I chose Comminus!

Project Management seemed like the only logical choice for my preferences, so I contacted Comminus to see if they maybe have a program or a person who could show me all parts of the job and what it takes to become a Project Manager. After the talk with projects managers, I was even more determined to learn more about the job, to learn more in general and to do my best to become a Project Manager.
Most important thing that Project Managers do is that they never stop learning. There are always new things to focus on. Since Comminus is a company that is specialized for solutions and services in  business intelligence and data management, the first thing that I had to do was to get more familiar with databases and database manipulation. That wasn’t a big problem since I am a student of Computer System Maintenance and we had database programming and database manipulation course.
First two months of the internship, I spent taking educational videos about T-SQL and trying to replicate all the tasks and examples from the videos on a separate test database. During that time, I realized how much I have progressed in making logical queries that weren’t as easy as they seemed.
PM2.jpgI participated on each team meeting every morning side by side with Project Manager Senior and I was able to understand different kind of tasks for each team member (junior to senior).
I am aware that a new Project Manager needs a bit of time to get to know his coworkers and to learn about their strengths and weaknesses. The advantage here was that later when I got the opportunity to lead the team, I was familiar with all the things the team members can do. At first, I was just ''an observer'' and tried to remember all the things that were discussed at the meetings. Specifically, that made it a lot easier on deciding which task will be assigned to whom. After the internship, I stayed here and continued to work on day jobs and project support. As my skills in manipulating with database grew, I was given more tasks that sometimes were a bit more challenging, but those tasks gave me more opportunity to learn and expand my knowledge. I learned something new each day, I made notes that still come in handy when something comes up and I am using a lot of resources to find the solutions to a specific problem (Internet, books, colleagues). Also, this was a good lesson: Documentation, made precisely, extensively and carefully can make your job much easier in the future.
During my work so far, I learned how to use Microsoft Team Foundation Server (TFS) to create tickets, save my documentation and to make queries that would give back only the tasks I specified. It also taught me how to manage dashboards that would provide relevant information to the right stakeholder's groups and needs, make custom queries and how to adjust it to fit my and client's needs. TFS is making a Project Managers job a lot easier when there is a need for checking changes that were made in the past or when there is a need to find some similar tasks that happened before, but their explanation could help solve current tasks. Also, we are using TFS for client communication about tickets, and they can give us additional information or verify tasks that are resolved.

Like I previously said, Project Managers must always learn some new skills. With this on my mind, I got familiar with even more tools that made my everyday tasks easier such as:
  1. Microsoft Visual Studio - integrated development environment (IDE) that is used to develop computer programs, as well as websites, web apps, web services and mobile apps. This was a great tool when we were checking who changed a specific procedure and when, as well as what was changed.
  2. SQL Server Profiler - interface to create and manage traces and analyze and replay trace results. This helped me a lot because when I learned how to use it I was able to find what went wrong with the application and go to the correct person with a firm case of what needs to be fixed and where.
  3. Microsoft Excel – even though this seems like a skill that everyone has, it can get more complicated and difficult. We used Excel to extract data from TFS using queries that were created on TFS. After extracting the data, we had to get some valid reports from it and create pivot tables, graphic representations of that data and charts that would reflect what is requested.

Project Managers also need to have great communication skills as well as interpersonal skills since they are taking to everybody that is connected to the project in any way. Project Managers are the connecting link between clients wishes and teams ability to fulfill those wishes, between the team members itself and between the CEO of the company and the clients. Project Managers also need to have good estimating skills because correct and real estimate means a lot to the client because they can be sure that the estimate given won’t turn into three or four times as much at the end. When we are talking about communication skills, Project Managers is a friend to his team, not a boss that will come and just order the team what to work on and how to make it but a person that will sit with the team and talk about the challenges, see if it is possible to be done by only one person. We work in such a way that, after the daily team meetings, we keep our eyes on the dashboard with tasks and tickets, make sure people have evenly distributed tasks according to their skills and knowledge.

A good Project Managers will make sure they know what needs to be done so he can discuss it with his team. They will also get involved when there is a problem and will try to help fix it. We have daily calls with our clients to make sure all of their requests are fulfilled and that work done is based on the priority clients specified.
Now, after all this time I realized that Project Manager is not only my dream job but also a passion that I will try to achieve in my life. I know there is a lot more learning ahead of me, but I am ready to take new challenges upon myself and build myself with each skill.
